1.Basic Policy
The Tokyo National Museum (the “Museum”) collects your personal information through the Museum’s web site (the “Web Site”) within the scope necessary to smoothly provide services such as supplying information, sending newsletters, accepting event participation and tour guide volunteer applications, and receiving your comments via the Suggestion Box. The information collected will be handled appropriately within the scope outlined in Purpose of Use.

The Museum appropriately manages the personal information collected or obtained in accordance with the Japanese Act on the Protection of Personal Information Held by Independent Administrative Agencies, Etc. (Act No. 59 of 2003), the Order for Enforcement of the Act on the Protection of Personal Information Held by Independent Administrative Agencies, Etc. (Cabinet Order No. 549 of 2003), the Rules for the Management of Personal Information Held by National Institutes for Cultural Heritage, and the Detailed Regulations for the Handling of Personal Information Held by National Institutes for Cultural Heritage.
3.Scope of Collection
The Museum does not collect names, birthdates, or other information that can generally identify an individual, except in the following circumstances:
(1) The Web Site automatically collects your Internet domain name, IP address, and other information pertaining to your visiting the Web Site. The Museum will not link this information to data that can identify you. However, it may take such measures if the information is required under laws or regulations, or to protect the rights of other visitors.
(2) You will be asked to enter your e-mail address to receive newsletters (this service is available in Japanese only).
(3) You will be asked to enter your name to submit comments via the Suggestion Box.
(4) You will be asked to enter your name, address, telephone number, and e-mail address to apply for participation in lectures, workshops, and other events posted on the Web Site.
(5) You will be asked to enter your name, address, telephone number, and e-mail address to apply for prizes or gifts offered through the Web Site.
(6) You will be asked to enter your name, address, telephone number to offer donations.
(7) You will be asked to enter your name, address, telephone number to request details about the Tokyo National Museum Membership Scheme.
(8) You will be asked to enter your name, address, telephone number to register for membership with the Friends of the Tokyo National Museum or the Members Pass.
4.Purpose of Use
Information pertaining to your visiting the Web Site collected in 3(1) will be consulted to smoothly provide through the Web Site services such as access statistics.
Your personal information collected in 3(2) will be used only to send newsletters (this service is available in Japanese only).
Your comments submitted through the Suggestion Box in 3(3) will be consulted to improve the Museum’s and the Web Site’s services. Note that depending on the context, your comments may be forwarded to the relevant division of the Museum or of the National Institutes for Cultural Heritage.
Note also that your name and e-mail address may be used to answer your inquiry.

Your personal information collected in 3(8) will be used to send your payment form, membership card, and the periodical “Tokyo National Museum News.”
5.Restrictions on Use and Disclosure
The Museum will neither voluntarily use for purposes other than those outlined in Purpose of Use nor disclose to third parties the personal information collected, except when disclosure is required under laws or regulations, in the event of a violation of law such as unauthorized access or threat, or for other special reasons. However, it may publish access statistics, having processed the data so that individuals cannot be identified. It may also use the context of an inquiry submitted through the Suggestion Box to write contents for the Frequently Asked Questions (FAQ) page.
6.Security Measures
The Museum will take necessary measures to prevent the leakage, loss, and damage of personal information collected, and to otherwise handle the information appropriately.
7.Outsourcing
To smoothly operate the Web Site, the Museum may outsource the handling of personal information collected and provide it within the scope necessary to a third party company. In that event, the Museum will select a third party company with sufficient experience and competence in managing personal information, and will take necessary measures to ensure that the third party company appropriately manages the personal information such as by including handling instructions and a nondisclosure clause in the contract.
